Email Marketing & Reminders

Your Roster Is Already Your Mailing List

Parent emails come in with the student data. That means the hardest part of email marketing—building and maintaining an accurate list—is finished before you ever think about sending anything.

Most photographers end up running two systems: one for student data and galleries, another for email. Then they spend picture day season exporting CSVs from one and importing them into the other, hoping nothing got mangled in between. Every misplaced column is a family that doesn't find out their photos are ready.

Classroom Captures skips that entire round trip. The email system reads the same student records that produced your galleries, so the gallery code in the email is by definition the right code for that child.

One Import, Two Jobs

When you upload a school's roster, Classroom Captures looks for a parent email column alongside school, student name, grade, and teacher. It recognizes the usual names—parent_email, guardian_email, plain email—and you can map the column manually if the school used something unusual.

From that point on, every student with an email address on file is a reachable family. No export, no list hygiene, no separate subscribe step. See where this fits in the full workflow.

Personalized Without the Mail Merge

Each parent receives an email about their child, not a generic blast. The system fills these in per recipient:

  • StudentName
  • GalleryCode
  • GalleryUrl
  • SchoolName
  • GradeName
  • TeacherName
  • PhotographerName
  • PhotographerLogo
  • PhotographerWebsite
  • PhotographerPhone
  • PhotographerEmail

So a parent opens an email addressed to their child by name, referencing their teacher and school, with a direct link that drops them into the right gallery—and your logo and contact details on it, not ours.

Templates You Don't Have to Build

Choose from a template library organized by what you're actually trying to say: announcements, reminders, seasonal sends, and promotions. Preview any template before you commit, and see it rendered with your branding rather than imagining how it will look.

The common sends are already covered—photos are ready, picture day is coming, ordering closes Friday, retake day is scheduled. Pick the one that fits and move on.

Pick Your Audience by School

Recipients are selected the way you actually think about your work: by school, grouped under their district. Check one school, check a whole district, or select everything. The parent count updates live as you check boxes, so you know exactly how many families you're about to reach before you send.

Only students with an email address on file are counted, so the number you see is the number of emails that will actually go out.

Know What Went Out

Every send is recorded as a named campaign. Campaign history shows what was sent, when, to how many parents, and its status—sent, sending, or failed—with delivery tracked per recipient. When a school secretary asks whether the Thursday notice went to the fourth grade, you can answer without guessing.

What It Costs

Nothing extra. Email is part of your plan rather than a separate subscription to a marketing platform: 5,000 emails per month on Starter, 20,000 on Professional, with 50 on the free trial so you can send real test campaigns before you decide. Your remaining balance for the month is displayed right next to the recipient count while you're composing.

Sending a Campaign

1
Choose a template

Browse the library by category and preview the one you want before selecting it.

2
Name the campaign

Something you'll recognize in the history later—"Fall Picture Day Reminder, Lincoln Elementary" beats "Campaign 4."

3
Select your schools

Check individual schools or select all. The parent count adds up as you go.

4
Check the numbers

Recipient count and remaining monthly balance sit side by side, so there are no surprises mid-send.

5
Send and track

Each family gets their own personalized version. The campaign lands in your history with per-recipient delivery status.

The Sends That Earn Their Keep

Photos are ready

The one that drives orders. Each family gets their own gallery code and a direct link.

Picture day is coming

Fewer absent students means fewer retakes and a shorter makeup day.

Ordering closes soon

Deadline reminders are consistently the highest-converting email in school photography.

Retake day is scheduled

Reach exactly the school that needs it, without bothering the four that don't.

Why This Beats Bolting On a Mailing Platform

A general-purpose email tool doesn't know what a gallery code is. It can't tell you which students at Lincoln Elementary still have no photos, and it certainly can't guarantee the code in row 412 belongs to the child named in row 412. Every one of those guarantees comes free when the email system and the student database are the same system.

You also stop paying twice, stop maintaining two logins, and stop wondering which list is current.
